Reviewing a line

A line on an invoice is a claim: this much of this product, at this price. Before it counts, NexReps checks it. When the check is not happy, the line waits for you.

Why a line is red

A red line holds the whole invoice. The reason is written on the line.

Not linked — NexReps does not know what this item is.

Product to confirm — NexReps has a proposal, but nobody has confirmed it yet for this supplier.

The arithmetic does not add up — quantity × price is not the line total.

The pack or the unit does not convert — NexReps cannot turn what was bought into the unit you keep the product in. See Units and conversions.

Kept in a container — the product is kept in BAG, BOX or CASE. A container is packaging, never a unit.

Implausible price — a first price above 20¢ a gram or $100 each, or a move of more than 50% from the last one.

Delivered weight far from the computation — more than 30% apart.

Approval outdated — someone accepted this line, and the figures have changed since.

Why a line is orange

Worth a look, not a stop: a price that moved between 20% and 50%, a quantity of zero, a column the scan was unsure of, or a pack that differs from the one remembered for this item.

Blue lines

Information only: a first price for this product, a delivered weight printed on the invoice, a discount applied, a pack format taken from memory.

Opening a line

Click the line. The review shows what the scan read, the reasons, and What validating will write — the stock that will be added and the price per unit that will be recorded. Those are the exact figures the validation writes.

What you can do

Confirm the product — the proposal is right. From now on this supplier's item links itself.

Pick another product — the proposal is wrong. Search and choose. That choice is remembered instead.

Create a product — nothing fits because you have never bought it. Name it, choose its canonical product, and it is created. See Canonical products.

Edit the line — the pack format was read wrong. Write it the way it really arrives: inner pack quantity and unit, packs per case, price per case, pack or unit. The result updates as you type. See Reception format.

Accept — the figures are unusual but true. A price really did double; the old one was wrong. Accepting approves the figures you see.

Not a product — a fee printed as a line. It stays on the invoice for the accounting total and never touches stock.

An approval is for the figures, not for ever

When you accept a line, NexReps records the stock and the price you approved. If anything later changes them — the pack, the product, a discount — the approval lapses and the line turns red again, with the approved and the current figures side by side.

That is deliberate. You approved 1 050 pitas at 19¢, not whatever the line might say tomorrow.

Known items stay known

One confirmation per item per supplier. The next invoice from the same supplier links that item by itself — green, nothing to click.
