Every product on an invoice must say what it is. Product Linking is the page where you tie supplier products to their canonical product — one at a time, or thirty at once — and where you clean up the canonicals themselves. In the app: Kitchen → Product Linking.
Nothing is linked automatically here. Two canonicals merged by mistake corrupt every recipe cost built on them, so every link is a decision.

- 1Three tabs: Products, Canonical products, and Review with the number of proposals waiting.
- 2Which products to show: Not linked yet, Already linked or All products.
- 3A suggestion. Click it to link. SKU means the supplier code matched; a percentage means the name is similar.
- 4Several rows ticked: link them all to one canonical, or Create & link a new one.
Products
The queue of supplier products, with their SKU and their Canonical product. A linked row shows the canonical with a check; To review next to it means nobody has confirmed that canonical yet.
An unlinked row shows NexReps’s suggestions. A green SKU badge is a supplier code that matched; 82% match is a similar name — read it before you click, a similar name is not the same product. No match found means you decide.
+ New creates the canonical from the row: type its name, then Create & link.
Linking many at once
Tick the rows that are the same product. A bar appears: 3 selected, and Link to… type a canonical name. Pick a canonical from the list, or, when none exists, Create & link 3. The ✕ clears the selection.
Canonical products
The other end of the same link: every canonical with its Suppliers, its Recipes and its Status. New canonical creates one — give it the kitchen name, Tomato Plum Roma.
Click a canonical to open it: its supplier products (Supplier code, Supplier, SKU, Pack), with Rename, Delete (only once no supplier product is attached) and, for one marked To review, Confirm identity. A supplier product attached by mistake is detached from here. Back returns to the list.
When a reference name is suggested for a canonical, the list shows it under Suggested reference, with Adopt.
Merging. Tick two canonicals that are one, choose Keep which one?, then Merge. The supplier lines, the recipe lines and the unit conversions move onto the one you keep; the other is archived and the recipes that moved are recalculated. Prices and stock never move.
Review
Every night NexReps checks the catalogue and writes what it found as proposals. They wait in Review; nothing changes until a person accepts them and applies them.
| Canonical | Proposal | Why | Status | ||
|---|---|---|---|---|---|
| ☐ | Parsley - Flat | Merge into · Parsley - Italian | Same name twice | Green | 1Accept Reject |
| ☐ | cream 35 pct | Rename to · Cream - 35% | Name outside the convention | Look | Accept Reject |
| ☐ | Shallots | Merge into · Shallot | Same name twice | Accepted |
- 1Accept or Reject each proposal. The Why column says what was found.
- 2Green proposals are the safe ones: Accept all green takes them in one click.
- 3Apply accepted writes the accepted proposals, after showing what each one changes.
The filters choose the kind of finding — To review, Same name twice, No supplier at a venue, No global reference, Name outside the convention — the action, and the status. Each proposal names the canonical, the Proposal — Merge into, Rename to, Keep as is, Archive or Link to reference — and Why. Its status reads Green (safe) or Look (read it first), then Accepted, Rejected, Applied or Stale (the catalogue changed since). Reopen sends an accepted or rejected proposal back.
Apply accepted opens Apply the accepted proposals: what each one writes, before it is written. A proposal the checks refuse stays Accepted · refused, with the reason.
