Export to QuickBooks Accountant

Once a month, the accountant sends the validated supplier invoices to QuickBooks Desktop. NexReps writes them into one IIF file — one bill per invoice — and QuickBooks imports it. QuickBooks keeps the books; NexReps only prepares the bills.

Reading the page

Open Accounting → Export, pick the company and the period. The page lists every validated invoice of the period that has not been exported yet: Ready, or Blocked with the reason. The header counts the ready and blocked invoices and the amount to export.

Each row shows the supplier, the invoice number and its QuickBooks vendor, the Date, the Total and the Tax. An invoice still under review in the kitchen is not here yet: it comes once it is validated. See Invoices.

Why an invoice is blocked

NexReps refuses to write a bill QuickBooks would get wrong. The reasons you can meet:

No supplier on the invoice · Supplier has no QuickBooks vendor for this company · QuickBooks vendor is inactive · No invoice number · No invoice date · No invoice total · Total does not match the lines, charges and tax · N lines post to no account · Charges with no expense account for this supplier · Company has no Accounts Payable account · Company has no tax account · Bill does not balance · No line and no charge.

Most are fixed in one place: a line with no account on Product Mapping; the company’s A/P or tax account, and its vendor list, on Entities; a missing number, date or total on the invoice itself. When the A/P or the tax account is missing, the page says so above the list.

A supplier is matched to its QuickBooks vendor outside these pages. If an invoice stays blocked because its supplier has no vendor, contact NexReps.

Exporting

Export N asks for a confirmation — the number of invoices, the amount and the company — and warns that an exported invoice can no longer be reverted. Then the IIF file downloads to your computer. Import it in QuickBooks Desktop, in the company file named on Entities.

If an invoice changed between the preview and the export — someone validated or reverted one — the export is refused and the page reloads, so the file always matches what you read.

Past exports

Below the list, every past batch: the Period and its A/P account, when it was Exported, the number of Invoices, the Total and Tax, and who exported it. The download icon rebuilds the same IIF file, if you need to import it again.

Period Close

Locking a closed month so a late invoice cannot rewrite it is coming: the Period Close page is not built yet.
